Modern technology allows companies to offer their services not only in the local market but also throughout the country and even the world. The issues of bidding, contacting and contract execution can be handled by phone, email and online. So why waste valuable time (and money) sending paper contracts, waiting for a signature and returning documents? Even in favorable circumstances, such a process takes a minimum of 3 days. Meeting a contractor from the other side of the country, on the other hand, is a big hassle. Current technologies allow two parties to sign a legally valid agreement in a matter of minutes.

What is the Autenti platform?

Autenti is a platform that allows you to sign an agreement or any other document online in a few minutes from your phone, tablet or computer. It is very important that such electronic signature is legally binding. You do not have to worry that a contract signed in such a way will be less valid than the one signed on paper.

The biggest advantages of using the Autenti platform:

  • Significant time savings - a contract can be signed by both contracting parties in minutes. No need to wait several days to receive a hard copy.
  • Reducing costs - paper contracts are quite expensive on a monthly basis. You have to take into account, among other things, the cost of the paper itself, printing, envelopes and registered mail.
  • Easier record of documentation - you do not need to print the contract or keep it in a binder. Once signed, you can download it to your computer and add it to the appropriate drive or folder. The advantage is easy and quick access to the document.
  • No need for face-to-face meetings with contractors and the associated security - face-to-face meetings to sign a contract have their pluses, of course, but can be troublesome if there is a long distance between those involved. Currently, due to the coronavirus pandemic, meeting in person and passing documents through many hands can pose a risk of infection, so an electronic signature is secure in this regard as well.
  • Environmental protection - For a long time we have all been fighting to reduce the amount of paper we use. Offices and companies are trying to do as much business as possible online. The less paper we use the better for the environment.

Integrating SolarCRM and LegallyCRM with Autenti

As 4B Systems sp. z o.o. we create browser-based software for companies from various industries. Together with our clients and contractors we noticed the need for an electronic signature both because of the pandemic situation but also to work more efficiently and increase the effectiveness of operations in a highly competitive market.

For now, integration with Autenti is possible in two 4B Systems products:

  • SolarCRM - a web-based solution for the photovoltaic and installation industry to manage relationships with customers and merchants.
  • LegallyCRM - a system for compensation law firms and attorneys, fulfilling most of the needs related to the management of the customer service process.

The coronavirus pandemic has made many companies aware of the need to change their customer signing process. Electronic signatures offer many advantages such as saving time, money, easier management of documentation workflows, and the ability to eliminate face-to-face contact. Therefore, the electronic signature is now becoming a standard that we also want to strive for.

Our systems themselves do not provide the ability to create an electronic signature - this service is provided by external service providers such as Autenti with whom we have decided to integrate. Licensees of our systems have the opportunity to start cooperation with Autenti and buy a package of services appropriate for them (in very attractive price packages). Integration of the service with our CRM systems is of course done by us within the system price.

Implementation of electronic signature in our solarCRM.pl and LegallyCRM.pl systems, among other things, thanks to saved time increases the chances of companies to reach a larger number of customers with their offer and to conclude contracts with them. It also increases the effectiveness of concluding contracts. In terms of company management such a solution is also beneficial, because it gives the opportunity to quickly report the effects of work.

Autenti is also a secure solution - the platform's activities are compliant with RODO. When a contract is signed, identity verification takes place, so the company is assured that the contract was signed by the correct, authorized person.

This is important in case of companies where all members of the management board must sign the document. You can also set the order of people who should sign the agreement - thanks to this you can plan the circulation of documentation within the company.

The effectiveness of contracts signed by Autenti we can also confirm from our own experience. Through the Autenti platform we sign contracts with SolarCRM, LegallyCRM and Foodeliver system licensees, among others. We noticed that:

  • We save a lot of time - it takes a few moments to complete the contract and send it to contractors. We do not have to prepare documents for shipment and wait for their return. Immediately after the signature of the client we can start our work, i.e. implementation of the system.
  • We already have considerable savings - monthly invoices from the Polish Post Office for postage are much smaller. Another saving is that we use less paper, printer ink and envelopes.
  • We are now more efficient in signing contracts - thanks to sending contracts via the Autenti platform we are sure that the documents have reached the right person.
